B2B Panel User Manual

Welcome to the B2B platform of afierosi.gr. This guide describes step-by-step the registration process, invoice profile setup, credit management, purchase methods, as well as the flow of generating, printing, and sharing QR Codes.

1. Registration & Account Creation

Accessing the B2B Panel requires a simple, fast registration:

Initial Registration

  1. Visit the official partner portal at the B2B Panel URL.
  2. Enter your company name, a valid email, and your password.
  3. Submit the form. Your account will be activated immediately, and you will receive a confirmation email.

2. Credit Packages & Purchasing

The platform operates on a pre-purchased Credit system. 1 Credit corresponds to the creation of 1 Digital Dedication card.

Purchase Flow & Whitelabel Upgrade

  1. Select Package: In the purchase area, select the volume that suits your needs (50, 100, or 500 credits).
  2. Professional Plan (500 Credits - 300€): Automatically unlocks premium B2C Whitelabel options (custom store logo, customized footer signature, and custom Brand Color selection).
  3. Secure Checkout: You are redirected to Stripe Checkout (only if your billing profile is verified and complete). Pay via any credit/debit card.
  4. Instant Activation: Credits are added automatically to your panel balance, and the invoice is emailed to you.

3. Ways to Use & Share (QR Codes)

We offer four flexible options to provide our dedication service to your customers:

A. Manual Generation & Physical Printing (For Retail Shops)

Create codes directly inside the dashboard by entering the desired amount. Download the compiled PDF perfectly sized for printing on standard A4 sticker label sheets, or print individual labels using a thermal POS printer to stick them directly onto the gift packaging.

B. Copy Link (For Phone & Manual Orders)

Next to each empty code generated in your panel, there is a "Copy Link" button. Click it to copy the unique link, and paste it directly to your customer via Viber, Messenger, SMS, or Email. The customer can open the link from home and record or write their dedication, without having to scan a physical card at that moment.

C. E-shop Automation (Plugin)

For online stores (e.g. WooCommerce), generating the dedication QR code and emailing the unique configuration link to the buyer happens automatically via our API upon successful checkout, deducting 1 Credit from your balance. (This feature requires the Professional package).

D. Corporate / Bulk QR (Corporate QR Flow)

Ideal for corporate gifts, campaigns, or events. It allows you to generate one "Master QR" and multiple "Clone QRs" (minimum quantity of 18 codes). When the sender (e.g. the CEO) fills the dedication on the Master QR, all Clones automatically display the exact same content. If someone scans a Clone before the Master is filled, a friendly waiting message is displayed.

4. B2C Whitelabel & Brand Color Customization

Partners with an active Professional Plan can fully customize the look and feel of the dedication page viewed by the end recipient:

Color Selection & Live Mockup Preview

From the Dashboard Settings, you can choose your primary brand color using an interactive color picker. As you select a color, a dynamic card mockup updates live on your screen, demonstrating exactly how the buttons, icons, and accents will render for the customer before generating the QR code.

Custom Store Logo & Footer Signature

Upload your store logo to replace the default afierosi.gr branding at the top of the dedication cards, while your store name is automatically shown in the footer (e.g. "Powered by [Your Shop Name]") for a fully premium, white-labeled experience.

5. Invoicing Profile & Setup

Before purchasing credits, it is mandatory to fully complete and save your invoicing details in your corporate profile:

Required Billing Fields

  • Company Name / Shop Name: Official corporate registration name.
  • VAT / Tax ID No: Government issued identification number (validated for correctness).
  • Tax Office (DOY): Applicable tax office registry.
  • HQ Address & Zip Code: Street, number, city, and zip code.
  • Contact Owner Name & Phone: Full name of the representative and contact number.
  • Email Address: Destination address for automated invoicing receipts.

Important - Profile Verification

You can edit your profile details at any time. It is crucial to review these details prior to purchasing package credits, as invoices are compiled automatically immediately after transaction success via Stripe.

6. Security & Expiration (GDPR Compliance)

Empty QR Codes never expire

Any code you generate manually and print for stock/storage purposes remains **active indefinitely** as long as it has not been recorded yet. There is no time restriction for keeping them in your drawer.

180-Day Expiration Rule (After Activation)

To comply with EU General Data Protection Regulations (GDPR), the 6-month lifespan (180 days) of a QR code starts **strictly only after the customer scans and records their dedication content** (video, audio, or text).
